What a homestay setup really costs

Most new hosts underestimate setup costs because they only think about the big things: the bed, the wardrobe, maybe an air conditioner. In practice, a large share of the money goes into dozens of small items such as mats, bins, racks, hooks and cleaning supplies. Each one looks cheap, but together they add up quickly.

That is why we built this calculator from the actual list we bought for one of our own units. Here is how to use it:

  1. Start with the defaults. Everything we consider essential is already ticked, so the totals show a sensible starting point.
  2. Untick what you already own. If your property already has a fridge, mirror or wardrobe, untick it.
  3. Change the quantities. A unit with more beds needs more pillows, bedsheets and towels. Edit the numbers to match your room.
  4. Filter by room. Use the room buttons to work through the bathroom, kitchen, bedroom and everything else one area at a time.
  5. Copy your list. When you are happy, copy the list and paste it into a note or send it to your partner or contractor.

Keep the two totals separate when you plan your budget. The one-time total is what you need in hand before your first guest arrives. The recurring total is a rough idea of the consumables and bills you will keep paying for, which affects how you price your rooms.

Needed vs good to have vs optional items

Every item in the calculator carries a label based on our own hosting experience.

  • Needed Things guests expect or that keep the unit clean and safe to run. Skipping them usually leads to complaints or extra work for you.
  • Good to have Items that noticeably improve comfort or save you effort, but you can open without them and add them later.
  • Optional Nice extras that depend on your guests, your location and your budget. Decide on these once you know who books your place.

Your property may be different. If you host families on longer stays, kitchen items may matter more. If you host short weekend stays, you may care more about bedroom comfort. Treat the labels as a starting point, not a rule.

Where to save and where not to

Do not cut corners on

  • Sleep. Pillows, bedsheets and blankets shape most reviews. Guests forgive a plain room but not a bad night's sleep.
  • Bathroom hygiene. Clean towels, a good mat and proper cleaning supplies matter more than fancy fittings.
  • Internet. Many guests work remotely or stream at night. A reliable connection prevents a lot of unhappy messages.
  • Appliances you use daily. For things like the fridge or induction cooktop, a reliable brand with a warranty saves repair visits later.

Where you can save

  • Buy locally where it makes sense. Mirrors, hangers, brooms and wall art are often easier and cheaper from a nearby shop.
  • Do it yourself. A simple clothes drying arrangement or a fresh coat of paint does not need a contractor.
  • Hold back on optional extras. Wait to see what your guests actually ask for before buying gadgets and decor.
  • Buy consumables in bulk. Garbage bags, soaps and cleaning liquids cost less per unit in larger packs.

No. They are the prices we paid when we set up our own homestay unit. Prices change often, so open the item link or ask your local shop for today's price before you buy.

Do I need to buy everything on the list?

No. Items marked Needed are the ones we would not open without. Good to have items make the stay more comfortable, and Optional items depend on your guests and your budget. Untick anything you already own.

What is the difference between one-time and recurring costs?

One-time costs are things you buy once when you set up, such as furniture and appliances. Recurring costs are consumables and bills you keep paying for, such as cleaning liquids, toiletries and the internet bill. The calculator shows each total separately.

Does the calculator cover registration and licence fees?

The list includes the Goa government online registration fee we paid as a single line item. Rules and fees can change and differ by state, so confirm the current requirements with the relevant government department before you apply.

Is my list saved anywhere?

No. The calculator runs only in your browser and nothing is stored or sent anywhere. Use the Copy my list button to paste your list into a note or a message before you leave the page.

Can I use this calculator outside Goa?

Yes. Most items are household basics that you can buy anywhere in India. Local costs such as labour, repairs and internet installation vary by city, so change the quantities and compare prices where you live.
